NASBE seeks an administrative specialist who will provide direct support to the president/CEO and all members of the Leadership Team as well as assist with all NASBE operations. Reporting directly to the director of governance and working closely with the executive vice president, a successful candidate in this position will contribute strategically to NASBE’s mission, objectives, and day-to-day activities. This is an essential role that will assist with the coordination of activities and provide direct support for all events and key projects.

Essential Responsibilities and Tasks:

Administrative Responsibilities

  • Oversee and administer the day-to-day activities of the front desk
  • Answers central telephone system and directs calls accordingly
  • Receives the public and answers questions, in person and by telephone; responds to inquiries from employees, members, citizens and others and refers, when necessary, to the appropriate person
  • Manage mail/package transit and distribution
  • Maintain accurate and up-to-date staff directory and emergency information and distributes as needed
  • Organize and maintain files both written and electronic
  • Produce documents as requested using all products in the Microsoft 365 suite
  • Support Leadership Team with materials procurement
  • Maintain accurate inventory of office supplies
  • Maintain copier functions and supplies
  • Organize and maintain the work room in a clean and appropriate manner
  • Assist staff with projects by performing administrative duties as requested
  • Support the full NASBE team with conference planning and program execution
  • Assist with documentation for expense reporting
  • Coordinate meeting scheduling, planning, and preparation
  • Support finance director with basic bookkeeping as requested (i.e. deposits, data entry)
  • Provide administrative support for travel, scheduling, and administrative tasks to leadership team as requested
  • Other duties as assigned

Program Responsibilities

  • Knowledgeable of all NASBE programs and procedures to respond to member inquiries
  • Knowledgeable of all areas of the NASBE website to facilitate and direct members to the appropriate resources as requested
  • Assist with research projects as necessary

Required Skills

  • Proficiency with Microsoft 365 suite
  • Basic understanding of electronic document organization
  • Outstanding organizational skills with files, document preparation, scheduling, etc.

Physical Demands

This is largely a sedentary role; however, it requires the ability to lift files and boxes, open filing cabinets and bend or stand as necessary. Limited out-of-office travel is expected for NASBE conferences, meeting and convenings as needed.
